POSITION TITLE: Senior Executive Assistant

REPORTS TO: Chief Executive Officer

SALARY: Commensurate salary with experience and Family Pathways pay structure

ORGANIZATIONAL MISSION: Family Pathways works with communities to develop supportive, caring relationships to help people meet their basic needs. This is done by offering a safety-net of essential services.

 

POSITION OBJECTIVE: The Executive Assistant has a primary responsibility to the CEO by providing high level administrative support, growing the CEO’s capacity to be strategic and focused in leading the executive team - and all staff - to accomplish the organization’s strategic vision, goals and objectives, and fulfill the organization’s mission through programs.

POSITION RESPONSIBILITIES

 

Administrative (100%)

  • Coordinate executive communications, including phone, email, social media for internal (staff, volunteers, board, etc.) and external (funders, peer organizations, elected officials and other partners) stakeholders
  • Manage CEO schedule, including meetings, appointments and travel
  • Arrange opportunities and events for CEO to establish and steward relationships: community, partner, fundraising and staff or volunteer appreciation
  • Prepare internal and external organizational documents, memos and reports for CEO, director team and partners
  • Prepare for meetings - board, team, committee and partner – including room arrangements, food/beverage, agendas, minutes, presentations, supplements, material prep. Record minutes where appropriate. Coordinate follow up on action items
  • Conduct research, review data, analyze and prepare documents for review and presentation by CEO, board, leadership and committees
  • Establish file naming standards. Maintain an organized electronic and/or filing system of paper and electronic documents. Retrieve such documents
  • Review organizational policies on approved schedule, and make recommendations based on best practices and emerging standards
  • Facilitate organization’s periodic review for meeting Charities Review Council standards
  • Provide support to CEO and leadership during the organization’s strategic planning process and annual review of the plan
  • Manage records database(s) where necessary
  • Other duties as deemed essential

 

EDUCATION AND EXPERIENCE:
 

Required:

§ Minimum associates degree and five years of senior executive administrative experience

§ Proficiency in Microsoft Office, Outlook, and Adobe products

§ Proficiency in social media, including LinkedIn, Twitter and Facebook

§ Passion for working for a mission-based organization

§ Desire to work as a member of a team and promoting that team’s guiding principles

§ Motivated self-starter who thrives on working in a space of innovation

§ Uphold a strict level of confidentiality

§ Develop and sustain a level of professionalism among staff, partners and clientele

§ Ability to plan, direct and review the work of others with confidence and clarity

§ High attention to detail and flexible in nature

§ Ability to work well under pressure and manage multiple projects and deadlines

§ Ability to work with sensitive and/or confidential matters

§ Exceptional written, verbal and interpersonal communication skills; excellent listening skills

§ Position requires ability to sit for extended periods of time, close vision, ability to adjust focus and see color
